In 2025, a professional body published a white paper on a technology risk. Several experts wrote it together. The subtitle names the reader and the decision expected of them: it asks company directors to act without delay.
That document shows three choices: a reader (company directors), a decision (act without delay), a proof (the joint work of several experts). A marketing white paper serves your positioning if those three choices are made before the writing starts. This article takes them in order, then covers production and distribution.
What is a marketing white paper?
A marketing white paper is a long document, signed by a company, that covers a client problem in detail. The reader downloads it to prepare a decision.
It differs from a sales brochure in its structure: it sets out the problem and the options before presenting an offer.
First decision: one reader
Choose the reader’s role before the subject. A finance director, a technical manager and a buyer each look for different information. The reader you choose sets the vocabulary, the length and the level of detail.
The white paper mentioned above addresses company directors: its subtitle names them.
If your readers hold several different roles, produce one document per role. Link them with cross-references.
Second decision: the decision the document prepares
Write in one sentence the decision the reader has to take after reading. The subtitle of the white paper mentioned above states the decision expected: act without delay.
Remove any section that does not prepare that decision.
The decision depends on the stage of the buyer journey. A reader who is discovering the problem expects an analysis. A reader comparing solutions expects the advantages and the limits of each one.
The same rule applies to an offer. Its value proposition states what the offer changes for the client, and in which situation.
Third decision: the proof only you hold
List what you alone can bring: your data, your client cases, your experts. A white paper that repeats your competitors’ findings gives the reader no reason to download it.
The download page of the white paper mentioned above presents it as the joint work of several experts.
If you hold no proof of your own, publish an article instead. It costs your experts fewer hours.
Producing with several contributors
A white paper draws on experts whose diaries are full. Before starting, settle who provides the material, who writes or edits, who handles the layout and who approves.
In our engagements, the client’s experts provide the material and review it. We shorten the text and fit it to the chosen reader. The layout follows the client’s brand guidelines.
Each chapter of the published document can then become an article, an email or a talk. The content upcycling method describes these adaptations.
Distributing the white paper
The landing page
The document is downloaded from a landing page that presents the problem, the intended reader and the conclusions. The page for the white paper mentioned above gives the title, the date, the subtitle and the authors. Your other channels then point to that landing page: home page, articles, email signature.
The messages after the download
Before going live, write the emails that follow the download. They carry on the subject of the document and offer the next step. Writing them calls for an editorial discipline specific to B2B email.
In France, the CNIL sets the rule according to the recipient. For commercial prospecting by email, people “must first be informed. They must also give their prior consent if they are private individuals, or be able to object if they are professionals” (CNIL, page updated on 10 June 2026, in French). Check the rule that applies in your own market.
The experts speaking
The authors of your white paper present the subject in a webinar, a podcast or at an event. In May 2024, we devoted a podcast episode to the white paper with Didier Glémarec, founder of LEADS GENERATION (in French).
Google’s AI Overviews: the usual rules apply
Google writes: “There are no additional requirements to appear in AI Overviews or AI Mode, nor other special optimizations necessary” (Google Search Central, page updated on 10 December 2025).
The usual SEO rules therefore apply to the landing page. Write it as a complete text: the problem, the intended reader, the conclusions, the authors.
Frequently asked questions
How long should a marketing white paper be?
The length depends on the reader and on the decision to prepare. Set it once the reader is chosen, then remove any page that does not prepare that decision.
Should you ask for contact details before a white paper can be downloaded?
Yes, if you want to identify prospects, within the data protection rules that apply to you. No, if you want the document to circulate freely. The white paper mentioned above can be downloaded without a form.
Who should sign a marketing white paper?
The experts who provide the material. Give their name and role in the document and on its landing page, so that the reader knows where the analysis comes from.
If your white paper has to prepare a decision about your offer, clarify that offer first: that is the purpose of Clarity.
